How to download all receipts from QuickBooks Online at once
Receipts you attach to bills, expenses and sales in QuickBooks Online are listed in one place, Settings → Attachments. You can export many of them at once as a ZIP file from there. Below are the steps from Intuit's help page on exporting receipts, what that export leaves for you to do by hand, and what to use when you need a whole year.
Download many receipts from QuickBooks Online as one ZIP
- In QuickBooks Online, click the gear icon (Settings) and choose Attachments under Lists.
- Tick the boxes of the files you want.
- Open the Batch actions dropdown and choose Export.
- QuickBooks downloads a ZIP file with the selected files.
One receipt, or one from a transaction
Per Intuit, a single receipt is downloaded from the Attachments list with the download option in the Action column; it opens in a new browser window and you save it with right-click, Save As. A receipt linked to an expense can also be opened from that expense, under Attachments.
Where the built-in export stops
- You choose files by ticking boxes in the list. Intuit's article describes no date range, transaction type or vendor filter for the export.
- It describes the result as a ZIP with a folder of the selected receipts. It does not mention an index, a spreadsheet or the transaction data that belongs to each file.
- It does not say how the files are named, so matching a file to its bill or expense can mean opening the transaction.
When that is not enough
If you need every receipt for a tax year, for one vendor, or for a client file, with each file named after its transaction and a sheet that shows which transactions have no receipt, ticking boxes is the slow part. Attachment Bundler does the filtering for you: choose the date range and filters, see the counts, then download ZIP files named by date, name, amount and number, plus an Excel and CSV index.
