QuickBooks Online attachments for an audit or year-end: how to get them out

When an accountant, auditor or tax office asks for the documents behind your QuickBooks Online transactions, there are two jobs: get the files out, and show which file belongs to which transaction. QuickBooks has a built-in export for the first job. This page walks through it and the limits you meet on the second.

Export attachments from QuickBooks Online as a ZIP

  1. In QuickBooks Online, click the gear icon (Settings) and choose Attachments under Lists.
  2. Tick the boxes of the files you want.
  3. Open the Batch actions dropdown and choose Export.
  4. QuickBooks downloads a ZIP file with the selected files.

Check which transactions have a file

Intuit Community answers describe adding an Attachments column: on the Expenses tab (or under Sales, All Sales), click the gear icon above the Action column and tick Attachments. Rows without a file show an Attach a file link, and the list can be exported to Excel. See the Intuit Community thread.

Where the built-in route stops for audit work

  • Intuit's export article describes a ZIP of the files you tick. It describes no date, type, vendor or account filter, and no index of the files.
  • The Attachments column in those answers covers the Expenses and All Sales lists; other transaction types are not covered by them.
  • Pairing each file with its transaction, and finding the ones with no file, is then manual work in a spreadsheet.

When a filtered export fits

Attachment Bundler exports the attachments of bills, expenses, invoices, sales receipts and journal entries, plus files not linked to any transaction, for the date range and filters you set (type, customer or vendor, account, amount). Each file is named after its transaction, the ZIP parts keep folders by type and month, and the Excel and CSV index lists every transaction and marks the ones with no attachment, so you can send the pack and the sheet together. Estimates, credit memos, vendor credits and files on customer or vendor records are not covered.

Questions

Can I export attachments for just one period?

With QuickBooks' own export you tick the files you want in the Attachments list. Attachment Bundler lets you set a date range and filters, and shows the counts before anything downloads.

Does the export include transactions that have no file?

The index lists them with the status No attachment, so you can see which ones still need a document.

Does Attachment Bundler change anything in QuickBooks?

No. The app only reads transactions and attachments. Intuit offers a single accounting permission, so the consent screen asks for it, but the app sends read requests only.

Does Attachment Bundler keep my files?

No. Attachments stream from QuickBooks through our server into your ZIP download and are never written to disk or a database. Export metadata is deleted after 72 hours.
